At Chiefs Tours, we understand that embarking on a Kilimanjaro climb or a Tanzanian wildlife safari is a significant investment and a dream for many. Life can be unpredictable, and plans may change. To assist you, we’ve outlined our cancellation and refund policy in a friendly and transparent manner.
Why We Can’t Always Say “Yes” to Full Refunds
Several pre-paid arrangements are made to ensure your adventure runs smoothly. Such commitments mean that not all funds can be returned upon cancellation.The pre-paid arrangements include:
Park Fees: Entry fees to Kilimanjaro and other national parks are paid in advance and are non-refundable.
Accommodation and Local Airlines: We partner with various lodges and local airlines, each with their cancellation terms. Once bookings are made, refunds may not always be possible.
Supplies and Local Services: We procure fresh food, fuel, and other essentials before your arrival. Additionally, our dedicated team invests time and effort in preparing for your trip.
Our Commitment to Flexibility
We aim to be as accommodating as possible. In exceptional circumstances (e.g., serious illness, natural disasters), we strive to provide a full refund. Each cancellation request is evaluated individually, and we collaborate with our partners to minimize penalties.
Cancellation Guide: What You Need to Know
Our cancellation fees are based on the notice period provided:
More than 90 days before the tour starts: 15% cancellation fee
60-89 days before the tour starts: 30% cancellation fee.
30-59 days before the tour starts: 50% cancellation fee
Less than 30 days before the tour starts: 100% cancellation fee
Note: If third-party penalties (e.g., lodges, airlines) exceed the percentages above, the non-refundable amount will be adjusted accordingly. Bank charges for refunds will be deducted from the refund amount.
Keep Your Travel Dreams Alive with Lifetime Deposits
Instead of canceling, consider holding your deposit indefinitely for a future trip. Be aware that future price adjustments (due to factors like increased park fees) may require additional payment at the time of your rescheduled trip.
Travel Insurance is a Smart Choice
We highly recommend obtaining comprehensive travel insurance that covers cancellations. This ensures you’re protected against unforeseen events, and we can provide necessary documentation to support your claims.
